Everyone sees what they need, and no more

Every person in your business has exactly one role. It decides what they see, what they may do and where they work — in the browser in the office or in the Zirko App on site.

How it looks

Five roles, from the office to the site

Office – Admin is the owner or managing director and the only role that manages the subscription. Office – Management sees everything and does not change the settings; Office – Project management works on its own projects.

On site, Field – Team lead also records time for others, Field – Team member their own.

What else it takes off your hands

The lock sits in the database

What the interface hides is only half the lock. The hard limit sits on the server and in the database: typing an address in by hand still gets nobody through.

In detail — The lock sits in the database

Project management sees invoices only in its assigned projects, the team member sees no contacts, and the app on site shows no prices at all.

The role determines the licence

Every office role takes an office licence, which covers the browser and the Zirko App; the two field roles take a field licence, for the app only. An invitation books nothing.

In detail — The role determines the licence

A deactivated account takes up no seat, and its recorded hours, assignments and absences are kept in full.

Five fixed roles, none you build yourself

You give every person one of the five roles, but you do not build roles of your own. That is deliberate: a permissions table that every business puts together differently ends up checked by nobody. Only an Office – Admin changes roles, and Zirko does not let the last admin of a business go while others still work in it.

Tax, trades and guides — Malta

This page exists in its own version for every country. Tax rates and trade names come from the same tables the app works with.

Tax on the invoice

An invoice here carries VAT, at a standard rate of 18%. Zirko ships with the country's rates — you don't enter any yourself.

Worked example
Net
€10,000.00
VAT 18%
€1,800.00
Gross
€11,800.00

For Malta we are not aware of any general obligation to issue electronic invoices.

Frequently asked questions

  • Which roles are there in Zirko?

Five: Office – Admin, Office – Management, Office – Project management, Field – Team lead and Field – Team member. The three office roles work in the browser and may use the Zirko App; the two field roles work in the app only.

  • Do my field workers see prices or invoices?

No. The field roles have no access to invoices, and the app shows no amounts. A team member sees only assigned projects and no contacts.

  • Who manages the subscription?

Only Office – Admin. If you look for the “Contract & subscription” tab and cannot find it, you have a different role.

  • Can project management see all invoices?

No. Office – Project management sees invoices only in its assigned projects and has no invoice overview. The database enforces that limit, not just the interface.

  • What happens to the hours when someone leaves the business?

They stay. A deactivated account has no rights any more and takes up no seat, but its recorded hours, assignments and absences are kept in full. Later you reactivate the person with one click.
