A mistake gets a credit note, not a cover-up
An issued invoice cannot be changed or deleted — the books have to show what happened, the mistake included. For the mistake you have two clean routes: cancel or reduce.

Cancel and reissue in one go
“Cancel invoice” creates a cancellation invoice as a draft; the original changes its status only once you issue it.

Tick “Issue the invoice again” and a new invoice with the same line items is created in the same step — mistake out, correct invoice in. You record the reason for cancellation internally; a year from now it is the only explanation there is.

If the invoice is right in principle, “Reduce” creates an invoice correction for the difference. The reason is mandatory and printed, and Zirko shows you the balance of original, reduced and correction.

You withdraw a quote that no longer stands: it keeps its number, and no follow-on document can be created from it.

The document number is only assigned when the document is issued; a draft without a number can be deleted, nothing with a number can. Zirko will not save a numbering setting that would run into a number already used.

And the sheet freezes the first time it is rendered: if you later change your address, logo or texts, an issued document still shows years later what was on it at the time.
Zirko is not an archive
The duty to keep invoices for years falls on your business, not on us. When your contract ends, your records stay readable for thirty days and are deleted after that — back them up regularly with the data export. Reducing is also not possible when a document carries several tax rates or tax categories; in that case the cancellation invoice is the way.

Frequently asked questions
Can I delete an issued invoice?
No. An issued invoice can be neither changed nor deleted; you correct it with a cancellation invoice or an invoice correction. Only a draft can be deleted, as long as it carries no number.
What is the difference between “Cancel invoice” and “Reduce”?
“Cancel invoice” takes back the whole invoice — for the wrong recipient, the wrong project, the wrong amount. “Reduce” creates an invoice correction for the difference when the invoice is right in principle and was only too high.
Do I have to send the cancellation invoice to the customer?
Yes. Otherwise they know nothing about it, and your invoice stays open in their accounts. The cancellation invoice is a document of its own, with its own number from the invoice number range.
Can I take back a quote I have sent?
Yes, you withdraw it. No second document is created: the quote stays readable and keeps its number; it just cannot become an order confirmation or an invoice any more. Zirko sends your customer nothing when you do — tell them yourself.
What happens if I change my logo or address later?
An issued document stays as it was. The first time it is rendered, Zirko freezes the business details, mandatory details, logo, letterhead and printed texts; whatever you change afterwards applies to new documents.
