How it looks

One link, one name, one signature

Your customer opens the link without an account and signs on their phone, in the language of the document. As soon as they have signed, you get an email, and they download their copy.

In detail — One link, one name, one signature

Before that they see the document, date, subject and total amount, and can open the document as a PDF; they enter their name, sign with a finger or the mouse and press “Accept and send”. The email goes to the person who created the link, as long as they may see the document in Zirko, and the signed copy then sits with the document. The copy for your customer is ready to download for fifteen minutes, with the log sheet; after that they get it from you. You send the link from Zirko: in the “Send by email” dialog, “Insert signature link” puts it into your message, and a link that has expired, been invalidated or been mangled while editing does not go out.

In a dispute, you can show who accepted which document and when — and that it was the same one you sent. The acceptance log records name, signature, time, IP address, device and the checksum of the document.

A transaction reference is added; the sheet is the last page of the signed PDF and is in the language of the document — your customer gets the same file as their copy.

A link that does not last for ever

The link is valid for thirty days at most, and it can be signed only once. If it went to the wrong address, you invalidate it; if you create a new one, the old one stops working at once.

Anyone who opens a dead link reads that it is no longer valid, and once it has been signed there is no new one. It cannot be guessed, and the database holds only its fingerprint: anyone reading the database cannot build a valid link from it. That is why Zirko shows it only once, when it is created.

A drawn signature, not a qualified signature

The signature via the link is a hand-drawn signature with a log, not a qualified electronic signature. Where the law requires a contract to be signed on paper, it does not replace that. There is no link for invoices: they wait for a payment, not for an acceptance.

  • How do I get a quote signed electronically?

    With a link: you create it on the issued document and send it from Zirko by email — in the “Send by email” dialog, “Insert signature link” puts it into your message — or share it.   • Which documents can my customer sign this way?

  • Will I find out when my customer has signed?

    Yes, by email: whoever created the link gets one with the document, the time and the customer's name, as long as they may see the document in Zirko. The signature stays on the document for good, with the signed PDF including the acceptance log. Whether the customer has merely opened the link is not something Zirko tracks.

  • Does my customer get a copy of the signed document?

    Yes. Right after signing, they download the signed PDF with the log sheet, for fifteen minutes. After that they get the copy from you — you download the same file from the document.

  • In which language does my customer see the page?

    In the language of the document. If you issue a quote in another language, the signing page is in that language too, and so is the acceptance log. If someone opens a link that is no longer valid, the notice is in the language of their browser.
